Position Overview
The Office Coordinator plays a key role in supporting daily business operations at Copeland Electric by managing administrative processes, employee onboarding, HR coordination, IT support, and internal communications. This role ensures smooth office function, enhances employee experience, and facilitates communication between departments, vendors, and leadership.
Employee Onboarding & Offboarding
- Coordinate new hire setup, including requesting email/server access and setting up workstations
- Facilitate onboarding workflows through HRHQ, ensuring all required documents are completed accurately
- Complete E-Verify processing for all new hires within required federal timelines
- Obtain and facilitate health insurance enrollment forms for new hires
- Submit new hire reports to applicable state agencies
- Review onboarding documentation to ensure completeness and accuracy
- Remove system access for terminated employees
Employee Support & HR Coordination
- Handle employee insurance-related matters, including FMCP forms and child medical support documentation
- Report and maintain FMCP non-bargaining employee hours spreadsheet
- Report monthly apprenticeship hours
- Maintain the PTO, LIEO, and Work from Home calendars and ensure accurate tracking through monitoring of attendance
- Send new salaried EPI employee information to the appropriate departments
- Coordinate monthly employee appreciation lunches and birthday celebrations
- Post open positions on Indeed and assist with recruiting logistics
Technology & IT Support
- Coordinate with Verizon, MOEbiz, and Turner Teleco for office phone and internet needs
- Assist employees with basic IT troubleshooting and navigation
- Oversee key fob allocation and facility access
Administrative Operations
- Send United Healthcare bill monthly to CFO
- Oversee document scanning processes to ensure records are up to date
- Maintain shared calendars
- Monitor job folder organization
- Facilitate new union and new state processes
- Coordinate and submit Foundation call tickets as needed
- Provide support for licensing oversight in coordination with designated personnel
- Maintain and update the organizational chart
- Maintain NEBF address updates
- Coordinate with Host Marketing for advertising and social media needs
- Schedule and facilitate monthly company lunch events for office staff
- Assist with special projects and provide backup support to the administrative team as needed
Other Duties as Assigned
- Perform additional tasks needed to support the team and company objectives, adapting as the company evolves.
